Step 7 - Add Asset

21. Once confirmed, you now start entering data into the RemTrace secure eco-system.

22. The data entry process for any asset has a 3 minute time-out window.(i.e. If the entry screen is idle for 3 minutes then the data already entered is “Autosaved”,  If Autosave activates it is only possible to complete or edit the data entry using the audited edit features of RemTrace). Before  Autosave activates, you will be promoted to interact with the screen to keep the current “Asset Data Entry Workflow” open. Interacting with the screen repeatedly resets the 3 minute Autosave feature (Note: It advised and good practice to prepare your asset process before you begin).

At any point before a Manual or Autosaving action, you can cancel the data entry by selecting the “Start Over Button”.

On first use we recommend that you spend a few minutes on this page exploring the various fields to familiarise yourself with the layout and the features available to your user level. (Not all user levels will see the same options. The features visible to you are regulated by your “Admin / Qualification” level).

23.  Pressing the “Take Photo” button, launches the devices camera function, this enables a clear image of the asset/item to be captured and securely stored. The very first time you open this feature you will be prompted  to “Allow RemTrace to take pictures and record video” – you must select “Allow”. See image below.

24.  The photo is the last data you enter for each asset, take your photo and review it on the screen to ensure clarity and to ensure that you have captured your asset correctly along with any “In photo” reference markers. If you are happy with the image simply click “Save”. If for any reason you want to adjust or retake the photo you simply click on the “Take Photo” button again and retake it. (Note: If you had saved the photo Manually or if  the Autosave  feature had already saved the Asset (with or without Photo) your only option is to edit the Asset using the “Auditable” Edit Asset process. 

25. As soon as you click “Save” you will be taken directly to review screen for the asset you have just created. See below.

26. The review screen shows a simplified overview of the Asset/Item you have just added to the RemTrace eco-system. At a glance you can see;

a) RemTrace Evidence ID

b) Job ID

c) Job Title

d) Type of Asset, human, Skeletal, Non-Skeletal, Artefact etc.

e) Notes assigned to Asset/Item

f) Location Data

g) Photo

27. From this point you are given 3 options Open in Maps, Edit or Delete.

a) If you select Open in Maps you will see the location where the Asset was last seen.

b) If you select Edit you will open up an fully auditable asset edit workflow. (note: All data from initial creation is logged and securely stored, nothing is ever actually deleted, it is simply updated. all changes are logged for full asset provenance for life.

c) If you select Delete, the asset/item is permanently “Hidden” – and can only be unhidden by  your RemTrace Senior Administrator. 

27. The next logical step is to return to the ” Primary Home Screen” or to continue to add additional assets within the current Job by click the “+” Symbol and then repeating the “Data Entry Workflow”
